Meeting fatigue is real. 😭
But banning meetings from our schedules is impossible. We need to make sure everyone is on the same page, resolve conflicts quickly, and monitor progress toward our organization's goals.
Productive meetings are key to productive employees. The key word here is PRODUCTIVE.
Here's how to run a productive meeting:
1️⃣ Determine who should attend, what the objective of the meeting will be, and how much time is needed. Then, only invite the people who have a role in accomplishing your objective.
2️⃣ Send out an agenda in advance or communicate your intentions for the meeting in advance. If people need to prepare ahead of time, make sure they understand that.
3️⃣ Start and finish the meeting on time. This is key. Get people used to starting on time, and don't let meetings drag on past their finish time.
4️⃣ Keep the meeting short and to the point. Most meetings should be no more than 30 minutes long.
5️⃣ Provide context for the meeting and stick to your agenda.
6️⃣ Review the next steps and establish accountability.
7️⃣ End early whenever possible.
Limiting the number of meetings to only those that must be discussed as a group is the key to freeing everyone's time to work on tasks that move the needle. Everything else can be handled by email, project management software, or messaging platforms like Teams or Slack.
